Hotel Sports Group Policy:

• Parents/Guardians are to accompany guests under the age of 16 when using the pool/spa/fitness center/business center.

• All noise complaints will be investigated and dealt with quickly. If a noise complaint is found to have validity the offending room will be given one warning; a second noise complaint will result in eviction form the Hotel with no refund of any monies paid without warning.

• Room hopping and wandering through the hotel may result in a noise complaint and is therefore discouraged.

Arrival date changes received after the deadline will not be accepted by GCI Team Travel.


Cancellation Deadline:
• Cancelling your reservation via email with GCI before 3:00PM CST on Tuesday August 17th will not result in any charges or penalties.
• Cancelling your reservation after 3:00PM Central Standard Time on Tuesday August 17th will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel.

Full Team Cancellations:

Teams withdrawing from a tournament could be charged a penalty for cancelling hotel reservations. Please inquire with GCI.
If team is NOT ACCEPTED into tournament:

The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required. If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel may charge a penalty; we will need to reach out to the hotel to inquire.


Entire Event Cancellation:

If the entire tournament is cancelled due to weather or COVID-19, all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 24 hours prior to check in. If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.

If an event is cancelled by the tournament directors due to COVID-19, GCI Team Travel will cancel all rooms without action needed by guests.  

COVID-19 Disclaimer:
• Any cancellations due to Covid-19 that are sent in past GCI's cancellation deadline will be at the hotel's discretion to work with individuals/teams on a case by case basis.  We cannot guarantee a hotel's flexibility in regards to charging a penalty (or not) for a cancellation made after the GCI deadline.
