Cancelling your individual reservation in writing with GCI before 2:00 PM CST on Monday January 11th will not result in any charges or penalties.

Cancelling your reservation 
after 2:00 PM Central Standard Time on Monday January 11th will result in a cancellation penalty up to 1 night’s room and tax charged by the hotel or GCI Team Travel.

• Due to the nature of this tournament, hotel understands that some teams may be eliminated on Sunday and will no longer need to stay on Sunday night. 
• In this circumstance the hotel will not charge an early departure fee. 
Guest must check out directly with the hotel's front desk by 11:00am on Sunday to avoid fees.
• If your Sunday game time is scheduled after 11:00am you will have to check out and check back in if you make it through to the games played on Monday. 
• Please note that if you do need to check back in after having already checked out, hotel room types are subject to availability.


TEAM/GROUP CANCELLATION POLICY:

• Should the amount of individual cancellations from the same team appear to be more than standard (resulting in cancellation of 50% or more of the total room nights reserved) each cancelled reservation will incur a non-refundable charge of 1 night's room and tax. *see COVID19 notice below

• Team/Group room block must be canceled 
30 days prior to event Tuesday December 15th to avoid each individual being charged one night's room & tax. Withdrawing from an event due to any circumstance after Tuesday December 15th will incur cancellations charges of 1 night's room and tax. *see COVID19 notice below

• If team is NOT ACCEPTED into tournament: 
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required.
• If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel will likely charge a penalty; in this special circumstance, we will need to reach out to the hotel to inquire about the penalty which could be up to 1 night's room and taxes to each reservation.


• Weather Policy: 
If the event is CANCELLED ENTIRELY due to severe weather, no cancellation penalties will occur. The official announcement and cancellations must be made by 9:00 AM Central Standard Time on Thursday January 14th.

TEAM/GROUP CANCELLATION POLICY:

• Should the amount of individual cancellations from the same team appear to be more than standard (resulting in cancellation of 50% or more of the total room nights reserved) each cancelled reservation will incur a non-refundable charge of 1 night's room and tax. *see COVID19 notice below

• Team/Group room block must be canceled 
30 days prior to event Tuesday December 15th to avoid each individual being charged one night's room & tax. Withdrawing from an event due to any circumstance after Tuesday December 15th will incur cancellations charges of 1 night's room and tax. *see COVID19 notice below

• If team is NOT ACCEPTED into tournament: 
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required.
• If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel will likely charge a penalty; in this special circumstance, we will need to reach out to the hotel to inquire about the penalty which could be up to 1 night's room and taxes to each reservation.


• Weather Policy: 
If the event is CANCELLED ENTIRELY due to severe weather, no cancellation penalties will occur. The official announcement and cancellations must be made by 9:00 AM Central Standard Time on Thursday January 14th.

THIS HOTEL REQUIRES A TWO-NIGHT MINIMUM STAY.
Guests completing their 2 night minimum length of stay that would like to check out on Sunday can do so without penalty as long as the check-out occurs before 11:00am on Sunday.

Arrival Date Changes: 

Request in writing via email with GCI prior to 2:00PM Central Standard Time on Monday January 11th.
Arrival date changes received after the deadline will not be accepted by GCI Team Travel.


Reservation Cancellation Deadlines:

Cancelling your individual reservation in writing with GCI before 2:00 PM CST on Monday January 11th will not result in any charges or penalties.

Cancelling your reservation 
after 2:00 PM Central Standard Time on Monday January 11th will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel or GCI Team Travel.

SUNDAY NIGHTCANCELLATIONS:

THIS HOTEL REQUIRES ATWO-NIGHT MINIMUM STAY.
• Guests completing their 2 night minimum length of stay that would like to check out on Sunday can do so without penalty as long as the check-out occurs before 11:00am on Sunday.

• Due to the nature of this tournament, hotel understands that some teams may be eliminated on Sunday and will no longer need to stay on Sunday night. You must meet the two night minimum!
• If you have completed your 2 night stay, the hotel will not charge an early departure fee. 
Guest must check out directly with the hotel's front desk by 11:00am on Sunday to avoid fees.
• If your Sunday game time is scheduled after 11:00am you will have to checkout and check back in if you make it through to the games played on Monday.
