Expectations of Conduct
These expectations are held for all guests, regardless of how they reserved their stay with us. We do recognize our guests have historically enjoyed a more pleasant experience with us when these expectations are outlined for review.
Please keep in mind our goal is to ensure the best possible hotel experience for all guests, your group members included.
Early check-ins and late check-outs are based on availability and at the discretion of the hotel. They are not guaranteed.
During your stay with us, please respect these requests as our expectations of conduct.
Guests may be asked to sign a copy of the Expectations of Conduct upon arrival.
• Quiet hours are considered to begin at 10pm and end at 7am.During this time, please refrain from excessive noise coming from guest rooms, hallways, or the lobby area.
• Sporting equipment must be stored in a vehicle or guestroom at all times. The usage of sporting equipment inside the hotel is not permitted. The hotel is not responsible for lost, stolen, or damaged personal items. This includes vehicles.
• Children under the age of 12 must be accompanied by an adult while in all public areas.
• No outside alcoholic beverages are permitted to be consumed in our public areas after 10:00PM. Beverages purchased through The Bistro or Market within Courtyard Sioux Falls are the sole exception to this.
• No bartending of alcoholic beverages is allowed in our public areas at any times, including six-packs or more, usage of coolers, and bottles of liquor or wine.
• All guests are welcome to utilize our business center computers, but please limit time spent on these computers to be courteous to other guests who may need them.
• Buses and towed vehicles should utilize the overflow parking lot on the south side of the hotel.
• Courtyard does not allow pets.
• In the event there is any damage to or items stolen from the hotel or the need for excessive cleaning, the individual and/or group will be held liable and charged for the cost of fixing or replacing damaged property, replacing stolen items, or excessive cleaning. Charges are at the discretion of the Hotel.
• Failure to comply with these rules will result in a verbal warning given by a staff member. If any issues continue after the initial warning is given, the main contact for the group will be contacted and the individual or group may be asked to leave the property.
• If an individual or group is asked to vacate the property, refund(s) will not be issued. Any refunds given to hotel guests outside of the group, from a direct cause of actions by the group, may be held liable to the group. Thank you in advance for your understanding and cooperation.
Hotel Incidentals: At check in the hotel will charge a fee per day for incidentals. This charge will come off of your card if nothing is charged to the room and there are no damages. GCI does not recommend paying with a debit card because of incidentals. Please note that most hotels will only accept a credit card at check in. Please inquire with the hotel directly regarding what the hold may be or for additional information.
Cancellation Policy
All changes and cancellations for your reservation should be handled with GCI Team Travel via email prior to the deadlines listed below. EMAIL: CHANGES@GCITEAMTRAVEL.COM
Changes made directly with the hotel prior to the deadline dates shown below may not be communicated to GCI and could affect your stay. After the deadlines listed below, changes and cancellations will be handled directly with your chosen hotel and are at the discretion of the hotel.
Arrival Date Change Deadline prior to 3:00PM Central Standard Time on Tuesday August 19th:
- Request for arrival date changes must be made in writing via email with GCI Team Travel prior to 3:00PM Central Standard Time on Tuesday August 19th.
- Arrival date changes received after the deadline will not be accepted by GCI Team Travel and are at the discretion of the hotel. Guests must contact the hotel directly after the 3:00PM Central Standard Time on Tuesday August 19th deadline.
Cancellation Deadline prior to 3:00PM Central Standard Time on Tuesday August 19th:
- Cancelling your reservation via email with GCI Team Travel prior to 3:00PM Central Standard Time on Tuesday August 19th will not result in any charges or penalties.
- Cancelling your reservation after 3:00PM Central Standard Time on Tuesday August 19th may result in a cancellation penalty up to 2 night’s room and tax charged by the hotel. Guests must contact the hotel directly to inquire about potential penalties after this time.

No Show Policy:
- Should a guest not show up on their scheduled arrival date, the hotel reservation will be cancelled for all consecutive nights and a no show fee will be charged to the credit card on file.
Early Departure Policy:
- If a guest has checked in to the hotel and would like to check out of their room earlier than the originally scheduled departure date, there is typically a fee charged called an 'Early Departure Fee'. This policy and fee is at the discretion of each hotel and is subject to change. Please speak with the Front Desk directly if you need to shorten a planned length of stay to inquire about any fees that will apply.
Full Team Cancellations:
- If your team is withdrawing from the event for any reason (including but not limited to injury, insufficient number of players, etc.), the team manager must email GCI at changes@gciteamtravel.com within one (1) business day of the team's decision.
- Each individual guest will then need to cancel their reservation with GCI directly within 48 hours to avoid a cancellation policy charged by the hotel.
- If your team withdraws within two weeks of the event, you could be charged a penalty for cancelling hotel reservations by the hotel and the process will differ in cancelling reservations. Please inquire with GCI directly.
If team is NOT ACCEPTED into the tournament:
- The Team Contact Person who set up the room block must notify GCI via email at changes@gciteamtravel.com no more than one (1) business day after notification that the team was not accepted to cancel hotel reservations without penalty. Proof in writing from the tournament director may be required.
- Each individual guest will then need to cancel their reservation with GCI directly within 48 hours to avoid a cancellation policy charged by the hotel.
- If teams are not notified until 10-14 days prior to check in, or the week of the event, the hotel may charge a penalty; GCI will need to reach out to the hotel to inquire.
Entire Event Cancellation:
- If the entire tournament is cancelled due to weather all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 72 hours prior to check in.
- If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.
- Guests who decide not to travel due to weather when the event is still being played could be charged a cancellation penalty by the hotel. Please inquire directly or with the hotel if the GCI Team Travel cancellation deadline has passed.
Hotel Amenities:
- Hotel amenities listed on our website and in your confirmation email may be subject to change without prior notification. No refunds will be given when a certain amenity is not available (ex: pool). Please contact the hotel directly with any questions regarding current amenities.

Confirming Reservation Changes or Cancellations:
- If you do not receive a reply from us (changes@gciteamtravel.com) within one (1) business day, please follow up by phone at 913-660-7766 during business hours Monday-Friday 9:00-3:00 PM Central Standard Time to ensure the change has been received.
- Some servers such as me.com, icloud.com, and att.net will often completely block our replies to you. Be sure to check for a reply/confirmation if you are sending us an email with an important change or cancellation for your reservation.
