• Each guest room must have an adult 21-years or older in the room during the entire stay.
• A valid credit card and matching valid photo ID is required to check in.; Minimum age to check-in is 21.
• Adult’s name on reservation must match guest name that checks in at hotel.
• The credit card used when reserving the room is for guarantee only. A physical card must be presented at check-in.
• Please obtain a “credit card authorization form” from the hotel if you won’t have the physical credit card at check-in.
• Roll-away bed can be requested based on availability at check-in for King Rooms only.
• Pets welcome, fees apply (Pet policy is subject to change without notice. Please see hotel for specific information/restrictions.)
Note: Many local sports complexes do not allow pets on site.
Hotel Sports Group Policy:
• Parents/Guardians are to accompany guests under the age of 16 when using the pool/spa/fitness center/business center.
• All noise complaints will be investigated and dealt with quickly. If a noise complaint is found to have validity the offending room will be given one warning; a second noise complaint will result in eviction form the Hotel with no refund of any monies paid without warning.
• Room hopping and wandering through the hotel may result in a noise complaint and is therefore discouraged.
Hotel Incidentals: At check in the hotel will charge a fee per day for incidentals. This charge will come off of your card if nothing is charged to the room and there are no damages. GCI does not recommend paying with a debit card because of incidentals. Please note that most hotels will only accept a credit card at check in. Please inquire with the hotel directly regarding what the hold may be or for additional information.

Cancellation Policy
This hotel has a TWO-NIGHT MINIMUM.
There are no exceptions to the two night minimum - including the game schedule.
If you reserve a room at this hotel, the two night minimum must be met. Thank you!
All changes and cancellations for your reservation should be handled with GCI Team Travel via email prior to the deadlines listed below. EMAIL: CHANGES@GCITEAMTRAVEL.COM
Changes made directly with the hotel prior to the deadline dates shown below may not be communicated to GCI and could affect your stay. After the deadline listed below, changes and cancellations will be handled directly with your chosen hotel and are at the discretion of the hotel.
Cancellation Deadline prior to 3:00PM Central Standard Time on Tuesday March 11th:
- Cancelling your reservation via email with GCI Team Travel prior to 3:00PM Central Standard Time on Tuesday March 11th will not result in any charges or penalties.
- Cancelling your reservation after 3:00PM Central Standard Time on Tuesday March 11th may result in a cancellation penalty up to 2 night’s room and tax charged by the hotel. Guests must contact the hotel directly to inquire about potential penalties after this time.

No Show Policy:
- Should a guest not show up on their scheduled arrival date, the hotel reservation will be cancelled for all consecutive nights and a no show fee will be charged to the credit card on file.
Early Departure Policy:
- If a guest has checked in to the hotel and would like to check out of their room earlier than the originally scheduled departure date, there is typically a fee charged called an 'Early Departure Fee'. This policy and fee is at the discretion of each hotel and is subject to change. Please speak with the Front Desk directly if you need to shorten a planned length of stay to inquire about any fees that will apply.
Full Team Cancellations:
- If your team is withdrawing from the event for any reason (including but not limited to injury, insufficient number of players, etc.), the team manager must email GCI at changes@gciteamtravel.com within one (1) business day of the team's decision.
- Each individual guest will then need to cancel their reservation with GCI directly within 48 hours to avoid a cancellation policy charged by the hotel.
- If your team withdraws within two weeks of the event, you could be charged a penalty for cancelling hotel reservations by the hotel and the process will differ in cancelling reservations. Please inquire with GCI directly.
If team is NOT ACCEPTED into the tournament:
- The Team Contact Person who set up the room block must notify GCI via email at changes@gciteamtravel.com no more than one (1) business day after notification that the team was not accepted to cancel hotel reservations without penalty. Proof in writing from the tournament director may be required.
- Each individual guest will then need to cancel their reservation with GCI directly within 48 hours to avoid a cancellation policy charged by the hotel.
- If teams are not notified until 10-14 days prior to check in, or the week of the event, the hotel may charge a penalty; GCI will need to reach out to the hotel to inquire.
Entire Event Cancellation:
- If the entire tournament is cancelled due to weather all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 72 hours prior to check in.
- If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.
- Guests who decide not to travel due to weather when the event is still being played could be charged a cancellation penalty by the hotel. Please inquire directly or with the hotel if the GCI Team Travel cancellation deadline has passed.
Hotel Amenities:
- Hotel amenities listed on our website and in your confirmation email may be subject to change without prior notification. No refunds will be given when a certain amenity is not available (ex: pool). Please contact the hotel directly with any questions regarding current amenities.

Confirming Reservation Changes or Cancellations:
- If you do not receive a reply from us (changes@gciteamtravel.com) within one (1) business day, please follow up by phone at 913-660-7766 during business hours Monday-Friday 9:00-3:00 PM Central Standard Time to ensure the change has been received.
- Some servers such as me.com, icloud.com, and att.net will often completely block our replies to you. Be sure to check for a reply/confirmation if you are sending us an email with an important change or cancellation for your reservation.
