• Roll-away bed can be requested for $10 a night (based on availability) at check-in for King or handicapped rooms only.
• Some QQ rooms will adjoin based on availability, however, adjoining rooms cannot be blocked until day of arrival. (Requests for adjoining rooms are never guaranteed by hotel.)
• Minimum check-in age is 21. A valid credit card and matching valid photo ID is required to check in. The Credit Card must be authorized for the total expected plus an additional $20 per night.
• Adult’s name on reservation must match guest name that checks in at hotel.
• The credit card used when reserving the room is for guarantee only. A physical card must be presented at check-in.
• Please obtain a “credit card authorization form” from the hotel if you won’t have the physical credit card at check-in.
• Pets welcome, fees apply (Pet policy is subject to change without notice. Please see hotel for specific information/restrictions.)
Note: Many local sports complexes do not allow pets on site.
Hotel Policy:
-Parents/Guardians must accompany guests under 16 when using public areas of hotel including but not limited to the pool, fitness & business center.
-All noise complaints will be investigated. A 2nd noise complaint will result in eviction from the hotel with no refund.
-Large gatherings in guestrooms are discouraged.
-Pool hours are posted; guests under 18 must respect adult only hours.
-Groups are not allowed to sit/gather in hallways due to fire safety reasons.
-The second floor is primarily an event space and is not to be utilized for pizza parties or other group gatherings without prior discussion with our sales team.
-Our liquor license does not allow outside alcohol to be consumed in public spaces. This includes the lobby, outdoor patios, and the terrace. Alcohol not purchased from the hotel or restaurant must be kept inside your guest room.
Hotel Incidentals: At check in the hotel will charge a fee per day for incidentals. This charge will come off of your card if nothing is charged to the room and there are no damages. GCI does not recommend paying with a debit card because of incidentals. Please note that most hotels will only accept a credit card at check in. Please inquire with the hotel directly regarding what the hold may be or for additional information.

Cancellation Policy
Arrival Date Change Deadline:
Request in writing via email with GCI prior to 3:00PM Central Standard Time on Tuesday August 02nd.
Arrival date changes received after the deadline will not be accepted by GCI Team Travel.
Cancellation Deadline:
• Cancelling your reservation via email with GCI before 3:00PM CST on Tuesday August 02nd will not result in any charges or penalties.
• Cancelling your reservation after 3:00PM Central Standard Time on Tuesday August 02nd will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel.
No Show Policy:
Should a guest not show up on their scheduled arrival date, the hotel reservation will be cancelled for all consecutive nights and a no show fee will be charged to the credit card on file.

Full Team Cancellations:
Teams withdrawing from a tournament could be charged a penalty for cancelling hotel reservations. Please inquire with GCI.
If team is NOT ACCEPTED into tournament:
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required. If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel may charge a penalty; we will need to reach out to the hotel to inquire.
Entire Event Cancellation:
If the entire tournament is cancelled due to weather or COVID-19, all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 24 hours prior to check in. If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.
If an event is cancelled by the tournament directors due to COVID-19, GCI Team Travel will cancel all rooms without action needed by guests.
COVID-19 Disclaimer:
• Any cancellations due to Covid-19 that are sent in past GCI's cancellation deadline will be at the hotel's discretion to work with individuals/teams on a case by case basis. We cannot guarantee a hotel's flexibility in regards to charging a penalty (or not) for a cancellation made after the GCI deadline.
• Hotel amenities listed on our website and in your confirmation email may be subject to change without prior notification due to COVID-19 regulations. (EX: swimming pool and fitness center availability, house-keeping, breakfast etc.)

Confirming reservation changes or cancellations:
If you do not receive a reply from us (changes@gciteamtravel.com) within 1 business day, please follow up by phone. Email servers such as me.com, icloud.com and att.net will often completely block your email messages to us and our replies to you. Be sure to check for a reply/confirmation if you are sending us an email with an important change or cancellation for your reservation.
