Hotel Incidentals: At check in the hotel will charge a fee per day for incidentals. This charge will come off of your card if nothing is charged to the room and there are no damages. Cancellation Policy
Arrival Date Change Deadline:
Request in writing via email with GCI prior to 3:00PM Central Standard Time on Tuesday September 21st.
Arrival date changes received after the deadline will not be accepted by GCI Team Travel.
Cancellation Deadline:
• Cancelling your reservation via email with GCI before 3:00PM CST on Tuesday September 21st will not result in any charges or penalties.
• Cancelling your reservation after 3:00PM Central Standard Time on Tuesday September 21st will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel.
No Show Policy:
Should a guest not show up on their scheduled arrival date, the hotel reservation will be cancelled for all consecutive nights and a no show fee will be charged to the credit card on file.

Full Team Cancellations:
Teams withdrawing from a tournament could be charged a penalty for cancelling hotel reservations. Please inquire with GCI.
If team is NOT ACCEPTED into tournament:
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required. If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel may charge a penalty; we will need to reach out to the hotel to inquire.
Entire Event Cancellation:
If the entire tournament is cancelled due to weather or COVID-19, all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 24 hours prior to check in. If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.
If an event is cancelled by the tournament directors due to COVID-19, GCI Team Travel will cancel all rooms without action needed by guests.
COVID-19 Disclaimer:
• Any cancellations due to Covid-19 that are sent in past GCI's cancellation deadline will be at the hotel's discretion to work with individuals/teams on a case by case basis. We cannot guarantee a hotel's flexibility in regards to charging a penalty (or not) for a cancellation made after the GCI deadline.
• Hotel amenities listed on our website and in your confirmation email may be subject to change without prior notification due to COVID-19 regulations. (EX: swimming pool and fitness center availability, house-keeping, breakfast etc.)

Confirming reservation changes or cancellations:
If you do not receive a reply from us (changes@gciteamtravel.com) within 1 business day, please follow up by phone. Email servers such as me.com, icloud.com and att.net will often completely block your email messages to us and our replies to you. Be sure to check for a reply/confirmation if you are sending us an email with an important change or cancellation for your reservation.
