Cancellation Policy
Arrival Date Change Deadline:
Request in writing via email with GCI prior to 2:00PM Central Standard Time on Tuesday January 12th.
Arrival date changes received after the deadline will not be accepted by GCI Team Travel.
Cancellation Deadline:
Cancelling your reservation via email with GCI before 2:00 PM CST on Tuesday January 12th will not result in any charges or penalties.
Cancelling your reservation after 2:00 PM Central Standard Time on Tuesday January 12th will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel.

Sunday Night Cancellation Policy:
• Due to the nature of this tournament, hotel understands that some teams may be eliminated on Sunday and will no longer need to stay on Sunday night.
• In this circumstance the hotel will not charge an early departure fee. Guest must check out directly with the hotel's front desk by 11:00am on Sunday to avoid fees.
• If your Sunday game time is scheduled after 11:00am you will have to check out and check back in if you make it through to the games played on Monday.
• Please note that if you do need to check back in after having already checked out, hotel room types are subject to availability.
COVID-19 Specific Cancellation Policy:
Guests will be able to cancel their hotel reservation without penalty when the cancellation is made at least 24 hours prior to arrival due to COVID 19 exposure, mandatory quarantine, positive test results for themselves or a household member, or travel bans restricting travel from the home state or state where event occurs. Proper documentation will be required in order to cancel without cancellation penalties. The cancellation must be made 24 hours prior to arrival, which is 3:00 PM Hotel's Local Time on Thursday January 14th. You may need to reach out to the hotel directly to make a cancellation after the GCI deadline, we will let you know.
Full Team Cancellations:
• Teams withdrawing from a tournament could be charged a penalty. Please inquire with GCI.
• If team is NOT ACCEPTED into tournament:
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required. If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel may charge a penalty; we will need to reach out to the hotel to inquire.
Entire Event Cancellation:
If the entire tournament is cancelled due to weather or COVID-19, all reservations made with GCI will be cancelled entirely. There will be no penalties when the announcement is made at least 24 hours prior to check in. If games are cancelled after you have already checked in, the hotel's cancellation policy will continue to apply.
