Cancellation Policy
DEPOSIT NOTICE: The WareHouse Hotel will charge a deposit equal to 1 Night's room and taxes ($198.70 for a double queen room; some rooms may be at a higher price) when your team's rooming list is submitted or as soon as reservations are entered by hotel. (Deposit will be charged between December 18-23)
YOUR RESERVATION AT THIS HOTEL REQUIRES A MANDATORY TWO-NIGHT MINIMUM STAY.
Please understand that no exceptions can be made to the required two-night minimum - including game schedule.
Reservation Cancellation Deadlines:
Cancelling your individual reservation in writing with GCI before 2:00 PM CST on Monday January 04th will not result in any charges or penalties.
Cancelling your reservation after 2:00 PM Central Standard Time on Monday January 04th will result in a cancellation penalty up to 2 night’s room and tax charged by the hotel or GCI Team Travel.

TEAM/GROUP CANCELLATION POLICY:
• If team is NOT ACCEPTED into tournament:
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required.
• If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel will likely charge a penalty; in this special circumstance, we will need to reach out to the hotel to inquire about the penalty which could be up to 2 night's room and taxes to each reservation.
• Weather Policy:
If the event is CANCELLED ENTIRELY due to severe weather, no cancellation penalties will occur. The official announcement and cancellations must be made by 9:00 AM Central Standard Time on Thursday January 07th.
COVID Team or Event Cancellations:
If your home state has a “do not travel” COVID mandate or state specific travel restricts occur, please notify GCI and the hotel to cancel your reservations. Refunds will be made after you notify us if this occurs.
If the tournament is cancelled entirely due to COVID, full refunds will automatically be processed for each guest booked with GCI Team Travel.
COVID Individual Cancellation Concerns:
Guests can cancel their hotel reservation at any time without penalty (full refund of deposit) due to COVID 19 exposure, mandatory quarantine, positive test results for themselves or a household member, or travel bans restricting travel from the home state or state where event occurs. Proper documentation will be required in order to receive a refund of the deposit. Submit the cancellation request and documentation to GCI Team Travel before check in time on Friday to receive a refund.

COVID-19 Update as of 10/5/20*:
- Hotel amenities listed on our website and in your confirmation email may be subject to change without prior notification due to COVID-19 regulations. (EX: swimming pool and fitness center availability, housekeeping frequency/offering, breakfast options/availability etc.)
- If an event is cancelled by the tournament directors due to COVID-19, GCI Team Travel will cancel all rooms without action needed by guests.
