• Hotel offers very few adjoining rooms: A king will adjoin with a double. This configuration cannot be guaranteed.

• All of our guests pay for and expect a restful stay at our Hotel. To ensure that this is the case, the hotel’s quiet hours start at 10:00 p.m.
Hotel Incidentals: At check in the hotel will charge a fee per day for incidentals. This charge will come off of your card if nothing is charged to the room and there are no damages. GCI does not recommend paying with a debit card because of incidentals. Please note that most hotels will only accept a credit card at check in. Please inquire with the hotel directly regarding what the hold may be or for additional information.
Hotel Policies:
• There is a maximum number of four (4) occupants per Hotel room and a maximum of six (6) occupants per Hotel suite (not including additional persons that may be accommodated by a rollaway bed, for which special charges will apply);
• Pursuant to federal and local fire codes, only registered guests are permitted to stay at this Hotel.
• Hotel amenities such as the use of the swimming pool/whirlpool spa area, fitness center, and business center, as well as complimentary breakfast and complimentary 5:30 Kickback® are for registered guests only. Proof of guest registration (including valid ID) may be required;
• Hotel’s lobby may not be used for Group meetings;
• Hotel room doors will not be propped open and must remain shut at all times;
• The Hotel may institute a “quiet time” curfew at 10:00 p.m. for Group at Hotel’s discretion;
• If the Hotel is unable to fulfill its satisfaction guaranteed policy and is required to discount guest room charges of Hotel guests, who are not members of the Group, due to the behavior and/or conduct of members of the Group, the amount(s) discounted will be the responsibility of Group at Hotel’s discretion; and
• Hallways are to remain clear and quiet at all times, and the Group will be contacted if complaints of excessive noise and/or misconduct are brought against any member of the Group – if the aforementioned noise and/or misconduct continues after notification to the Group, Group may be asked to leave the Hotel and will be responsible for the full amount due under the Contract.

GCI Team Travel and Hotel Cancellation Policy & Procedure
**PLEASE NOTE THE IMPORTANT DATES BELOW
Arrival Date Changes:
Request in writing via email with GCI prior to 2:00PM Central Standard Time on Monday February 10th.
Arrival date changes received after the deadline will not be accepted by GCI Team Travel.
Reservation Cancellation Deadlines:
Cancelling your individual reservation in writing with GCI before 2:00 PM CST on Friday January 31st will not result in any charges or penalties. (Please note that cancelling more than 50% of your team's rooming list will fall under "team/group cancellation" instead of "individual cancellation".)
Cancelling a full reservation after 2:00 PM Central Standard Time on Friday January 31st will result in a $25.00 Cancellation Fee charged by GCI Team Travel.
Cancelling a full reservation after 2:00 PM Central Standard Time on Monday February 10th will result in a cancellation penalty up to 1 night’s room and tax charged by the hotel or GCI Team Travel.

SUNDAY NIGHT CANCELLATIONS:
• Due to the nature of this tournament, hotel understands that some teams may be eliminated on Sunday and will no longer need to stay on Sunday night.
• In this circumstance the hotel will not charge an early departure fee. Guest must check out directly with the hotel's front desk by 11:00am on Sunday to avoid fees.
• If your Sunday game time is scheduled after 11:00am you will have to check out and check back in if you make it through to the games played on Monday.
• Please note that if you do need to check back in after having already checked out, hotel room types are subject to availability.
TEAM/GROUP CANCELLATION POLICY:
• Should the amount of individual cancellations from the same team appear to be more than standard (resulting in cancellation of 50% or more of the total room nights reserved) each cancelled reservation will incur a non-refundable charge of 1 night's room and tax.
• Team/Group room block must be canceled 30 days prior to event Tuesday January 14th to avoid each individual being charged one night's room & tax. Withdrawing from an event due to any circumstance after Tuesday January 14th will incur cancellations charges of 1 night's room and tax.
• If team is NOT ACCEPTED into tournament:
The Team Contact Person who set up the room block must notify GCI in writing no more than 1 business day after notification to cancel hotel reservations without penalty. Proof in writing from the tournament director will be required.
• If teams aren't notified until 10-14 days prior to check in, or the week of the event, hotel will likely charge a penalty; in this special circumstance, we will need to reach out to the hotel to inquire about the penalty which could be up to 1 night's room and taxes to each reservation.
• Weather Policy:
If the event is CANCELLED ENTIRELY due to severe weather, no cancellation penalties will occur. The official announcement and cancellations must be made by 2:00 PM Central Standard Time on Thursday February 13th.
